SPONSORSHIP INFORMATION

If you are interested in becoming a sponsor without buying a full section block, please select “Sponsor” in the ‘Exhibitor Category’ dropdown below and shoot us an email after completing your exhibitor application. We will contact you with sponsorship information and tiers, and help work with you to tailor a specific sponsorship to suit the needs of your business and the show.

By filling out the below application, you understand that you are only applying to secure an exhibition space at the 2024 Pittsburgh Gaming Expo.

Completion of this form does not guarantee you an exhibition space.

The Pittsburgh Gaming Expo is a curated celebration of gaming- video games, tabletop, geek culture, roleplaying, even tattoos and music. As such, we like to ensure that our exhibition hall reflects the will-and-wants of our attendees. We will not accept your application to exhibit if your business doesn’t seem even remotely gaming-or-geek-adjacent. If we feel your business represents the spirit of the show, and we have an appropriate space for you, then you will receive an invoice for the services requested.

PLEASE DO NOT SUBMIT MULTIPLE APPLICATIONS—
IT CLOGS THE SOFTWARE AND LESSENS YOUR CHANCES OF BEING SELECTED.

01. There will be no refunds, credits or transfers on tables for any reason. The proceeds of your purchase will be spent almost immediately to secure venue, entertainment, marketing, etc., and will not be refunded or credited.

02. Exhibitor agrees to remain set up during the entire duration of the convention, and vendor may not break down before the end of the show.

03. Exhibitor understands that leaving early may result in forfeiture of future exhibiting privileges.

04. Exhibitor set up is Thursday, 9:00AM to 7:00PM and/or Friday, 9:00AM to 1:00PM. Failure to be set-up prior to show opening may result in the forfeiture of your table.

05. Exhibitors with Helpers: Your helpers must be helpers. If it is discovered that your helper is a free-rider into the convention, the helper and/or the exhibitor may be ejected at the promoter’s discretion.

06. Exhibitor agrees not to sell any adult-oriented materials (pornographic materials, adult magazines, adult DVDs/tapes, etc.) and doing so may be cause for ejection from the convention center.

07. There is no smoking/vaping in the convention center.

08. Exhibitor is not permitted to set up any kind of stereo system/Bluetooth speaker/audio system that can interfere with other exhibitors or show functions without prior approval.

09. Exhibitor agrees to act in a professional and courteous manner at all times and agrees to abide by all instructions from promoter and convention center management/staff.

10. Exhibitor agrees not to sell any unlicensed or bootleg products, and they understand that they may be ejected from the convention for doing so without refund.

11. Exhibitor is not to adjust the dimensions of their booth or interfere with any neighboring booths/tables/merchandise, or place anything in the aisles.

12. Outside solicitation or promotion is forbidden without prior approval or invitation from the promoter.

13. Exhibitor is not to tape anything to the walls, carpets, floors, tables, windows, etc. of the venue and is responsible for any damage that they may cause. Likewise, exhibitor is responsible for the cleanliness and maintenance of their assigned area.

14. No outside food or drink is permitted in the convention center.

15. There are to be no helium balloons utilized on the premises.

16. Table and booth count maximums are aggressively enforced. If you utilize secondary helpers to attempt to secure more tables, you may be asked to leave the venue immediately upon discovery.

17. There is to be absolutely no ‘subletting’ of table space to non-promoter-approved exhibitors. Discovery of said subletting (i.e., the allowance of a non-approved exhibitor to sell at your booth, or the selling of your extra table/booth space to a non-approved exhibitor) will lead to both the exhibitor and their subletter being ejected from the premises immediately.

18. If you are selected to be an exhibitor, we will send you an invoice via the email address provided in your exhibitor application. You do not have a table secured until the invoice is paid. If you are paying for your table at on-site renewal, you may be asked to pay your total due via a different tender than is listed in this rule.

19. Promoter reserves the right to reject any exhibitor/artist/vendor/sponsorship application for any reason.

20. Failure to comply with any of the above listed terms, or exhibition of any conduct deemed inappropriate by the promoter, may result in ejection from the show with no refund. Promoter reserves the right to alter the terms of exhibiting at any time to suit the needs of the business. The full terms of exhibiting can be found at: https://www.pghretrogaming.com/terms-of-exhibiting
